New scheduler (Beta)

What's up?

- Introducing our new scheduler

The new view of all areas and the dropzone for unscheduled brackets start

We are now making scheduling a lot faster and we are giving you a very powerful tool to schedule your tournament faster and - may we say, smoother - than ever. The new scheduler is real time updated and comes with a lot of new features, all described below. The new scheduler is the largest update to our core functionality since we launched. Hope you like it as much as we do! Btw, this is release 1. We are already planning a second release this fall that will include updates regarding upcoming schedule, but lets leave that aside for now.

Legacy scheduler for late adopters

What if you are not ready for change?

If you prefer working with the old scheduler, we are prepared and here for you. If you create brackets to the dropzone, then the dropzone will appear in your legacy schedule view. If you don't like the dropzone, then just don't put any brackets there and the dropzone won't bother you in your legacy schedule. But - it will be worth it to learn the new layout - we promise!

Layout and general features

- Menus are moved around to make space and get a modern look

Since the new scheduler is a fullscreen service, we need to allow access to menus in a new way which changes the event page layout. Buttons above the top banner, the top banner being excluded from certain pages and your event admin menu being pinned to the left side of the event page for easy navigation.

- Horizontal scroll for mats / vertical for schedule blocks

The new scheduler presents all mats as columns from left to right. If you have more mats than can fit the screen, you can scroll sideways to view all mats. Within each mat you can scroll vertically to see any schedule blocks that does not fit the mat.

PROTIP: Hold shift on the keyboard while scrolling to scroll horizontally

- Filter

The scheduler has a filter where you can search for division or participant's names in free text as well as filter for academy and country in separate drop downs. Once you have filtered, all schedule blocks that does not match your filter will be muted. You can choose to select all blocks that match your filter to take action on your selection (see below for all actions).

NOTE: The filter looks for division and/or player name. This means that if "Walter White" is in the blue belt division you will still find that schedule block when searching for [White], as well as any white belt division.

- Pin /collaps mats

On top of each mat and the dropzone there is a pin button. When you have a lot of mats and want to work the schedule of a specific mat, then you can pin that mat to make it it always stay visible - no matter how you scroll. Likewise, a mat that you are currently not scheduling could be convenient to collapse.

- Drag'n drop

Just like in the old scheduler, you can drag and drop brackets. The difference now is that you can drag multiple brackets at once. You can drop them to an empty part of a mat or above/below any blocks on a mat. If you drop a bracket/brackets on to another bracket you will create a group. You can read more about it under extra tools below.

Dropzone

The box to the left

- Unscheduled matches belong here

The dropzone is not a mat. Brackets and matches in the dropzone will not have an eta and they will not have any match numbers. If you are mid-tournament and preparing a division that is yet to be announced, then the dropzone is your default place to work from.

- Search (within the dropzone)

A simple to use search on bracket name will let you find all brackets containing the wording [division xyz]. Select them, and as a next step distribute them on to your mats. So whenever you have a schedule that is supposed to start with the white belts, then this would be your first step.

- When creating brackets, drop them here

Let's back it up a bit. When you are creating your brackets from the registration view, instead of trying to schedule at the same time, just drop all brackets on the dropzone - then make the scheduling from the scheduler.

Distribute tool

- Your new best friend

The distribute tool will take your selection of brackets/schedule blocks and distribute it evenly on your selection of mats. You can choose to schedule them to the start or towards the end of the day. If your bracket holds multiple schedule blocks (like a multistage or a bracket where finals are sliced out) then it will keep the schedule blocks on the same mat - even if that makes the schedule uneven in minutes. This is by design, since splitting it automatically over mats might cause a lot of practical problems on the event day which might halt the progression of your brackets.

- Made a mistake? Just cancel and redo

When you are making moves in the schedule, it needs to be saved to go live. This means that you can try different ideas and then roll it back by pressing cancel if you changed your mind.

Multiselect

- Copying what you are used to

Emulating the behaviour of Apple's "Finder" and Microsoft's "File Explorer" you can now select single or multiple schedule blocks by using your cmd/ctrl and/or the shift key while selecting and deselecting multiple blocks to take action on. Also, by cmd/ctrl clicking on the name of the mat all schedule blocks on that mat will be selected. Sometimes it will be easier to select all and then deselect a few - sometimes the other way around is what you want.

The sidebar

Pops up when needed

When double clicking on a schedule block a sidebar pops out from the right (computer) or from the bottom (mobile), where all the matches included in that schedule block will appear. You can search for the names of participants directly in this view, and it is also available to the public to make your events even easier to follow. From the sidebar you can reach the bracket by a link at the top.

Extra tools

Not everyones' cup of tea

2 types of scheduling

These two tools brings specific features that might not be needed for most. There are two main scheduling principles to run events, either "back to back" or "sandwich style"(or "round by round")

Back to back, run the first bracket of the day all the way to finish as fast as possible (but allow minimum rest before matches) Back to back is popular in jiu-jitsu, but not in elite level wrestling or judo (maybe with the exception to save finals to a later occasion).

Sandwich/round by round, spread the bracket over the entire day (see slice below). In elite Judo/wrestling as well as in striking arts when match rest is important, then sandwich might be the best option.

Back to back: "Nice, I don't have to wait around all day to compete"

Sandwich: It is more important that everyone has the same amount of rest. More important than my time.

- Slice

Our slice tool is designed for those who want "round by round" or "sandwich scheduling".

For instance, if you prefer to start your event with all 32-finals, and then after that move on to the 16th-finals, then quarters and semis and at the end of the day end up with the finals for all divisions - then slice tool is what you are looking for. Select the divisions you want to slice still in the dropzone, and then start scheduling them from there. If you want to schedule "first come first served" on each mat, then take a look at group tool and ask us about the "bout scheduler" for a beta-beta test.

- Group

You can take any amount of schedule blocks and just group them into one using the new group tool. Why, you might ask? Maybe you have abused your schedule with the slice tool and you just want to bring some order to your chaos? It might look better to have a block at 6pm named "Adult finals" that is 60 minutes long then to have 7 different weight divisions all representing only one match. Group is an optional tool that make the schedule view look cleaner. If you are slicing all rounds of a bracket to run 32-finals before 16th and so on, then grouping all 32-finals in to one block on a single mat is another option if you combine it with our yet to be publicly released "bout scheduler". If you want to learn more about how to run a "first come, first served" tournament where mats are assigned on the fly as athletes approach the mats, then drop us an email and we will show you how it looks!
